Updated October 3, 2026 · Documentation-verified; hands-on testing pending where noted

Editorial status: This page separates vendor-published facts from our own analysis. We do not claim hands-on testing until the calls are completed and logged.

For an HVAC shop, the decisive question is not whether an AI voice sounds impressive. It is whether the system can reliably capture a no-cool or no-heat call, recognize urgency, get the right details, and hand the job to the right person without inventing a dispatch promise.

Current shortlist: OnCrew, Frontdesk, Smith.ai, and HighLevel Voice AI. These products represent different pricing and workflow models rather than a final rank order. We have not yet completed the same hands-on call battery on every product, so this is a documented-fit shortlist rather than a final laboratory ranking.

Why OnCrew is an early benchmark

OnCrew publishes unusually explicit contractor pricing: Starter is $49 per month for 100 calls, Pro is $149 for 400, and Multi-Truck is $349 for 1,000, with $0.99 per extra call. It also states that it supports trade-specific emergency triage and describes Housecall Pro API/write-back and webhook handoff for other systems. Those specifics make it useful as a baseline even if another vendor ultimately fits your shop better.

Our current decision rule

A 1–5 truck shop should favor predictable cost, simple forwarding, emergency handling and a clear handoff workflow. A larger HVAC operation should put more weight on field-service write-back, capacity-aware scheduling, role-based routing, analytics and governance. We will convert this shortlist into a scored comparison only after comparable hands-on tests are complete.
